Executive Assistant to VP of HR

The Executive Assistant will be responsible for delivering a high standard of administrative support to the Vice President of Human Resources and Vice President, Strategic Planning and Business Development. The ideal candidate is a seasoned professional who has 5+ years experience supporting senior level executives within a fast-paced, highly dynamic organization. The candidate will be a team player, extremely motivated, resourceful, highly organized, communicative and able to leverage the executives time by completing tasks independently with careful attention to detail.
Responsibilities
Extensive calendar management and coordinating meetings and calendars with other senior executives ensuring all time-sensitive matters are addressed and managed proactively
Organize and manage complex travel planning and interview schedules for executive level candidates
Travel coordination and expense management for executives
Coordinate and manage interview schedules and management of candidates during interview process
Draft and coordinate meeting agendas and onboarding schedules as needed
Working with executive, organize and maintain executive files both electronic and paper. Maintain confidential executive personnel and human resources files in appropriate manner
Maintain lists, databases and other formats as required for various executive document management
Experience with maintaining high level of confidentiality and sensitivity of documents
Assist with planning of various events and meetings as they relate to the work of the executive and the department
Assist in completion of special projects as required
Provide support to other members of the team as needed
Work flexibility required with the ability to work overtime with little or no advance notice
Knowledge and Experience
Minimum 5-years prior executive administrative experience, preferably supporting senior-level executives
Ability to interface well with all departments and all levels within the company in a professional manner
Excellent verbal and written communication skills required
Demonstrated ability to handle multiple tasks simultaneously
Exceptional organizational skills required
Ability to adhere to and meet deadlines
Must be able to maintain the highest level of confidentiality and have ability to handle highly sensitive material
Ability to perform under pressure in a fast paced environment
Previous Human Resource experience preferred
Advanced experience in Outlook, Excel and PowerPoint with Visio experience preferred with strong aptitude to create and generate presentations and reports for executives a plus

The fraudster will send a check to the victim who has accepted a job. The check can be for multiple reasons such as signing bonus, supplies, etc. The victim will be instructed to deposit the check and use the money for any of these reasons and then instructed to send the remaining funds to the fraudster. The check will bounce and the victim is left responsible.
